An MSP's guide to prospecting tools
Data tools hand you a contact. MSPs need a closed deal.
If you run an MSP, you've been pitched Apollo, ZoomInfo, Lusha, Clay, Cognism, Seamless.AI, Demandbase or HubSpot. Each is good at something — and each stops at the contact record. MSProspector is built by Marketopia, which has spent 12 years helping more than 1,000 MSPs grow. It takes you the whole way: find the buyer, reach them, win the meeting, close the deal, and grow the client. Here's how they compare from the MSP's side of the table.

Where the leads come from
258+ sources. Not one database.
A data tool's leads come from one place: its own contact database, sometimes with a layer of intent on top. MSProspector watches 258+ public and licensed sources every day for the moments a business needs an MSP. Buying intent and website visitors are just two of them.
What a data tool watches
- Its own contact database
- Topic-research intent: what companies read about online
- Job changes, funding and hiring news
- HubSpot: businesses visiting your own website
What MSProspector watches
- Breaches, ransomware postings and state breach notices
- HIPAA actions and compliance obligations
- IT job postings and IT-leadership departures
- New business filings, licenses, permits and office moves
- SBA loans, government contracts, grants, E-rate and RFPs
- Layoff notices, litigation and SEC filings
- Exposed systems and aging technology
- Buying-intent research and website visitor identification
- Local news, press releases and incident reports
From lead to closed deal
A lead is where the work starts.
Data tools end where MSP sales gets hard. Here's what each step looks like with a data tool, and with MSProspector.
A searchable database of who exists. You pick the filters and hope the timing is right.
Every morning, the businesses in your territory with a dated reason to need IT, security or AI help — a breach, a departed IT manager, a compliance deadline, a new office, an RFP. Claim your metro and competitors can't buy the same leads.
Some offer email sequencing. You write the copy, manage the domains and make every call yourself.
AIDO Reach emails and LinkedIn-messages the decision-maker the morning the signal lands, while the event is still news, and hands your rep a reply. Phone Outreach puts Marketopia's BDRs on the same leads to call them through to a held meeting. Or work them yourself.
A company profile and an org chart. The research, the angle and the meeting prep are on you.
A cited, 70+ page brief on the account in about 15 minutes: the buying committee, a NIST CSF 2.0 cyber baseline, the observable tech stack and 100+ ranked opportunities to lead with.
Nothing. A contact record doesn't tell a rep what to say, what objection is coming, or what to leave behind.
Every lead arrives with why they're buying now and a suggested opener. The Sales Playbook adds the objections to expect and a logo-branded leave-behind (PDF and PowerPoint) to present in the meeting — so a rep walks in with a plan instead of a pitch.
Not their job. They find new logos, not revenue in the clients you already have.
Connect your PSA, RMM and Microsoft 365 read-only. We find unbilled seats, backup and security gaps, license waste and end-of-life hardware — dollarized per client from your own rate card, and pushed to your PSA pipeline.
Why it works
12 years. 1,000+ MSPs. One playbook.
Since 2014, Marketopia has been the MSP channel's growth partner — helping more than 1,000 MSPs and technology companies grow. MSProspector is that experience built into software: the triggers we know turn into meetings, the messages we know get answered, the research we know wins the room, and a team that can run it for you. The data tools on this page sell to everyone. We've spent our entire history in the MSP channel.
Four questions to ask any tool.
Before you sign an annual contract, ask these. They're the difference between a list and a pipeline.
Question 1
Does it tell me why this company would take my call this week?
Data tools: Contact databases list who exists. Some add topic-level intent; none tie it to the events that make a business hire an MSP.
MSProspector: Every lead carries the dated trigger, why it matters, and a suggested opener.
Question 2
Can the MSP down the road buy the same lead?
Data tools: Yes. Every subscriber searches the same database.
MSProspector: Not if you claim your metro exclusively — those leads go to you and no other MSP.
Question 3
Does it help my rep close, or just find names?
Data tools: Data stops at the contact. Research, messaging, objection handling and meeting prep are yours.
MSProspector: Sales Playbooks, talk tracks, expected objections and a branded leave-behind — built for how MSPs sell security, compliance and managed IT.
Question 4
Who does the work after I get the data?
Data tools: You do: build lists, write outreach, run sequences, make the calls.
MSProspector: You can — or AIDO Reach runs email and LinkedIn and Marketopia's BDRs run the phones, through to a held meeting.
Tool by tool, from an MSP's chair.
Apollo
Best for: Startups and SMB sales teams that want a large contact database and built-in email sequencing at a low entry price.
Where it fits an MSP: An affordable way to pull contacts and run sequences from one place. Good for looking up a person you already know you want to reach.
Where it falls short: It tells you who exists, not who is shopping for IT this week. You build the list, invent the reason to call, write the outreach and prep the meeting — and every MSP in your town can pull the same list.
ZoomInfo
Best for: Enterprise teams needing deep account intelligence, extensive direct dials, and buyer intent signals.
Where it fits an MSP: Deep org charts and direct dials if you sell up-market into larger organizations with a dedicated SDR team.
Where it falls short: Packaged for enterprise sales orgs, on annual contracts. Its intent is topic research, not the events that make a 40-seat business call an MSP — a breach, a departed IT manager, a compliance deadline. And it stops at the contact: no MSP talk track, no meeting prep, no one to make the calls.
Lusha
Best for: Sales reps who prospect on LinkedIn and need fast, simple access to mobile numbers via a Chrome extension.
Where it fits an MSP: Quick when you already have a name on LinkedIn and just need a mobile number.
Where it falls short: It's a lookup, not a pipeline. You still have to decide who to call, why now, and what to say when they pick up.
Clay
Best for: Growth and GTM teams that prefer waterfall enrichment and customizable workflows over a static database.
Where it fits an MSP: Extremely flexible if you have a GTM engineer who enjoys building enrichment workflows and signal recipes.
Where it falls short: You build it, you maintain it, you pay per credit. Most MSPs don't have a RevOps person — and even with one, you'd still need MSP-specific sources, scoring, messaging and someone to work the leads.
Cognism
Best for: Companies targeting the European market (EMEA) that require strict regulatory compliance and high phone data accuracy.
Where it fits an MSP: A strong choice if a meaningful share of your pipeline is in Europe and phone is your main channel.
Where it falls short: Its strength is geography most MSPs don't sell into. A local MSP selling to businesses within driving distance gets little from EMEA depth.
Seamless.AI
Best for: Real-time contact verification and building high-volume lead lists on a value-tier budget.
Where it fits an MSP: Cheap, fast list building when volume is the goal.
Where it falls short: Volume isn't an MSP's problem — timing is. Blasting large cold lists burns sending domains and your local reputation, in a market where everyone knows everyone.
Demandbase One
Best for: B2B organizations combining contact data, self-built intent, and targeted advertising on a single platform.
Where it fits an MSP: A full account-based marketing stack for companies with marketing ops staff and a paid-media budget.
Where it falls short: Built for B2B marketing departments, not a 10-person MSP selling to 20–200 seat local businesses. Most of the platform would go unused.
HubSpot (Breeze Intelligence)
Best for: Companies already running HubSpot that want record enrichment and buyer intent inside their CRM.
Where it fits an MSP: If you're on HubSpot, it enriches your records and flags companies showing intent — most visibly, businesses visiting your own website — without another tool.
Where it falls short: Its intent starts once a business already knows you and visits your site. Most local businesses never do until they're already talking to an MSP — often not you. MSProspector finds them before they go looking, and website visitor identification is one of our sources too.
MSProspector
Best for: MSPs and IT service providers who want in-market buyers in their territory, the help to turn them into closed deals, and more revenue from the clients they already have.
- Lead Signals: dated buying events in your territory, with verified decision-makers — exclusive if you claim your metro
- Closing context on every lead: why they're buying now and a suggested opener
- Sales Playbooks: a cited research brief, expected objections and a branded leave-behind for the meeting
- AIDO Reach and Phone Outreach: done-for-you email, LinkedIn and calling
- Client Upsell: finds unbilled seats, gaps and EOL hardware from your PSA, RMM and Microsoft 365
- Built by Marketopia — 12 years and 1,000+ MSPs grown
When another tool is the right call.
- You sell up-market with a full SDR team — ZoomInfo's depth may be worth the contract.
- Much of your pipeline is in Europe — Cognism is built for it.
- You employ a GTM engineer who loves building — Clay gives them a blank canvas.
- You just need a phone number for someone you already found — Lusha or Apollo is quick and cheap.
Plenty of MSPs keep a lookup tool and use MSProspector for everything around it: who to call and why, what to say, how to win the meeting, and where the next dollar is in their existing clients. For a local MSP, the data was never the bottleneck — timing, follow-through and a reason to say yes were.
Stop buying lists. Start closing deals.
